PURPOSE OF JOB

The Payroll & HR Specialist is responsible for processing payroll, funding contributions and reviewing non-exempt timecards. This position utilizes HR systems to achieve efficiency and accuracy. Uses discretion, poise and tact in dealing with confidential matters with employees at all levels with the organization. Maintains a current and comprehensive knowledge of wage and hour laws and payroll best practices.

 

JOB DUTIES AND RESPONSIBILITIES

  • Payroll
    • Sets up new employees in payroll/HRIS
    • Unlocks or resets end users as necessary
    • Approves Kronos Multi-Factor Authentication Changes/Virtual Code for new or reset users within 72 hours of notification
    • Reviews employee HRIS data including W4 and direct deposit information, approves or rejects as necessary
    • Enters maintenance items on a routine basis as changes occur
    • Calculates earnings and deductions as necessary
    • Enters all payroll and deduction information into payroll system
    • Downloads and reconciles general ledger payroll entries
    • Handles 401(k), HSA & FSA contributions funding
    • Ensures that 401(k), HSA and FSA contributions do no exceed annual limits
    • Forecasts, tracks and reconciles short term disability, long term disability, regular pay, paid time off and FMLA
    • Participates in Business Continuity Plan testing and works with Payroll & HR Systems Manager to complete test documentation.
  • Timekeeping
    • Unlocks or resets end users as necessary
    • Reviews and approves non-exempt timecards on a weekly basis
    • Tracks frequently asked questions and repeated errors to help identify training needs
    • Notifies Payroll & HR System Manager of any concerns related to compliance with state and federal laws including but not limited to FLSA, state laws, and Rest and Meal Periods
    • Sets up annual and new employee accruals
    • Reviews monthly invoices for accuracy
  • Reconciles monthly United Way invoices against payroll deductions and forwards approvals to accounting for payment
  • Prepares routine reports which are listed on the Payroll Process Checklist and non-routine reports for audits, budget and forecasting as requested
  • Reviews pre-submission payroll reports and audits post-submission payroll reports on a quarterly basis to accommodate cross training when Payroll & HR Systems Manager processes payroll
  • Provides administrative support to HR team as requested
  • Promotes the bank’s products and services whenever possible; participates in bank sponsored events, networking and volunteer opportunities at every opportunity

JOB REQUIREMENTS AND QUALIFICATIONS

  • College degree in business administration or human resources or equivalent professional experience preferred
  • Minimum two years of multi-state payroll processing for 300+ employees experience preferred
  • Experience with Kronos systems preferred
  • Ability to meet payroll submission and other deadlines by prioritizing tasks and planning time off around payroll and contributions funding schedule
  • Comprehensive knowledge of wage and hour laws and payroll best practices
  • General knowledge of employment, FMLA and EEO laws
  • Strong math skills with the ability to analyze data
  • Discretion in handling confidential information and sensitive documents
  • Ability to communicate effectively through writing, speaking and listening
  • Strong attention to detail and auditing skills
  • Good organizational and time management skills
  • Demonstrated ability to work independently and as part of the HR team
  • Strong payroll systems, HRIS and Microsoft Office Skills
